Raincity Athletics ("Raincity", "we", "us", or "our") respects your privacy. This policy explains what personal information we collect, why we collect it, how we use and protect it, and the choices you have. It also explains how we use cookies on this website.

We handle personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia's Personal Information Protection Act (PIPA).

1. Information we collect

Information you give us

When you fill out a form, book a free trial or consultation, sign up for a membership, register for a program, or contact us, we may collect:

• Your name, email address and phone number;
• Details you choose to share about your goals, training history, or any injuries or health concerns relevant to coaching you safely;
• Emergency contact information and waiver details where applicable;
• For youth, family and Fit Club programs: information about a child that a parent or guardian provides;
• Payment information, which is collected and processed by our booking and membership provider (Zen Planner) and their payment processor — we do not store full payment card numbers ourselves.

Information collected automatically

When you visit this site, our hosting provider automatically logs standard technical information such as your IP address, browser type, device information, and the pages you view. This is used to deliver the site, keep it secure, and understand general usage. See Cookies below.

2. How we use your information

We use your personal information to:

• Respond to your enquiries and book your trials, consultations and sessions;
• Set up and manage your membership, programs and payments;
• Coach you safely and tailor training to your needs;
• Send you information you've asked for, and (with your consent) occasional updates about Raincity. You can unsubscribe from marketing messages at any time;
• Operate, maintain and improve our website and services;
• Meet our legal and regulatory obligations.

We collect, use and disclose personal information only for purposes a reasonable person would consider appropriate, and with your consent, which may be express or implied depending on the sensitivity of the information.

3. Cookies & similar technologies

Cookies are small text files stored on your device by your browser. This site keeps cookie use to a minimum:

• Essential / functional cookies needed for the site and our embedded booking tools (Zen Planner) to work properly.
• Third-party cookies that may be set when content from other services loads on a page — for example our Zen Planner booking widgets, the Google Maps on our contact page, and links or embeds from Instagram, YouTube and Facebook. These third parties handle that data under their own privacy policies.

To understand how the site is used, we use Cloudflare Web Analytics — a privacy-first tool that does not use cookies, does not track you across other websites, and does not collect personal information; it only reports aggregate, anonymous usage (page views, referrers, country, device type). We do not run advertising cookies, marketing pixels, or other third-party tracking on this site.

You can control or delete cookies through your browser settings, and set your browser to refuse cookies. Some parts of the site — particularly the embedded booking calendars — may not work properly without them.

4. Who we share your information with

We do not sell your personal information. We share it only as needed to run Raincity:

• Service providers who help us operate, such as our booking and membership platform (Zen Planner), our website host and security provider (Cloudflare), and our email provider. They may only use your information to provide services to us.
• Embedded third-party services on our pages, such as Google Maps and social media platforms, as described in the Cookies section.
• When required by law, or to protect the rights, safety or property of Raincity, our members, or others.

5. Storage, cross-border & retention

Some of our service providers (including Zen Planner and Cloudflare) store and process data on servers located outside Canada, including in the United States. Where that happens, your information may be subject to the laws of those jurisdictions, including lawful access by their courts and authorities.

We keep personal information only as long as needed for the purposes described above, or as required by law, after which it is securely deleted or anonymized.

6. Children & youth

Our Raincity Fit Club, family and youth programs involve minors. We collect a child's personal information only with the involvement and consent of a parent or legal guardian, and only what's needed to coach the child safely. A parent or guardian may review, update, or ask us to delete their child's information, and may withdraw consent, by contacting us.

7. Your rights

Subject to applicable law, you have the right to:

• Ask what personal information we hold about you and request access to it;
• Ask us to correct inaccurate or incomplete information;
• Withdraw your consent to our use of your information (this may affect our ability to provide some services);
• Unsubscribe from marketing communications at any time.

To exercise any of these rights, contact us using the details below. If you're not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner for British Columbia.

8. How we protect your information

We use reasonable physical, technical and organizational safeguards to protect personal information against loss, theft, and unauthorized access, use or disclosure. No method of transmission or storage is completely secure, but we work to protect your information and to limit access to those who need it to do their jobs.

9. Changes to this policy

We may update this policy from time to time. The "last updated" date at the top shows when it last changed. Material changes will be reflected here, so please check back periodically.
